How do I close or change a case status?

Quick Reference

Case statuses in IntegrityCounts track where each report is in the investigation lifecycle. Keeping statuses accurate ensures that your Insights reports reflect real case data and that your organization maintains a clear audit trail.

Status What It Means
Open Case is active and under review or investigation
Pending Case is waiting on additional information, a response, or a decision
Closed Investigation is complete and no further action is needed

How to Change a Case Status

Step 1: Open the Case

From the Case Manager Dashboard, click on the case you want to update.

Step 2: Locate the Status Field

In the case view, find the Status field in the Case Details section on the right side.

Step 3: Select the New Status

Click on the current status to open the dropdown. Select the new status you want to apply: Open, Pending, or Closed.

Step 4: Save

The status change is saved automatically. The update is recorded in the case activity log with a timestamp and the name of the user who made the change.

Setting Priority

In addition to status, you can set a case priority level to help your team focus on the most urgent reports first.

Priority is separate from status. A case can be High priority and Open, or High priority and Pending. Use priority to signal urgency within any status.

Closing a Case

When an investigation is complete, change the status to Closed. Before closing, ensure the following are documented:

  • Validation Type is set (e.g., Substantiated, Unsubstantiated, Inconclusive)
  • Action Type is set if the case was substantiated (e.g., Corrective Action, Training, Termination)
  • Any final internal messages or notes have been added
  • Relevant tags are applied for reporting purposes

Closed cases remain in your system and are included in Insights reporting. They cannot be deleted, but they can be reopened if needed by changing the status back to Open.

Tracking Status in Your Dashboard

You can add the Status column to your dashboard view and use filters to see only Open, Pending, or Closed cases. This makes it easy to monitor your active caseload and identify cases that may need attention.
