How to Use Case Manager Filters

Quick Reference

Filters let you narrow your case table to only the cases that matter right now. Instead of scrolling through every case, use filters to isolate patterns, focus your workload, and prepare data for export or reporting.

Example: Show only open cases in the Finance department assigned to a specific investigator, or surface all high-priority cases from the last quarter.

Applying Filters

1. In Case Manager, click the Filters tab above the case table.

2. Click Add Filter.

3. Select a field from the dropdown, choose your values, and click Apply.

Your active filters appear as colored pills above the case table. You can stack multiple filters to narrow results further.

Available Filter Fields

Filter Field What It Helps You Find
Validation Type Cases by outcome: Substantiated, Partially Substantiated, or Unsubstantiated
Confidentiality Level Cases by anonymity level (Strictly Anonymous, Anonymous from Organization, Contact Information Provided)
Source How the case was filed (online portal, email, proxy, hotline)
Assigned To Cases assigned to a specific investigator
Tags Cases with specific custom tags your team has applied
Reporting Period Cases filed within a specific date range
Reporting Close Period Cases closed within a specific date range
Days Open Cases that have been open for a specific number of days (useful for identifying bottlenecks)

You can also filter by Department, Status, Priority, Proxy, and more depending on your organization's configuration.

Editing and Removing Filters

To edit a filter: Click the colored filter pill to reopen the dropdown. Check or uncheck values, then click Apply.

To remove a filter: Click the X on the right side of the filter pill.

Removing all filters returns you to the full, unfiltered case list.

Using Filters with Other Features

Filters work in combination with other Case Manager tools to give you precise control over your data:

  • Columns + Filters + Export CSV: Set your columns, apply your filters, then click Export CSV to download exactly the data you see. Learn more about exporting and scheduling reports.
  • Filters + Send to Insights: Apply your filters in Case Manager, then click Send to Insights to transfer them directly to the visual dashboard without rebuilding them. Learn more about Insights reporting.
  • Filters + Case Reports: Your active filters carry over when you schedule a recurring Case Report, so your team receives pre-filtered data automatically.
