How to File a Report in IntegrityCounts via email
IntegrityCounts provides organizations with multiple confidential intake channels so reporters can choose the method that feels most comfortable and accessible to them.
Available Intake Channels
Depending on your organization's settings, choose from these three secure methods.
1. Web Portal
File a case directly through your organization’s dedicated IntegrityCounts webpage.
- Guided prompts for detailed info
- Direct file uploads
- Secure inbox for follow-up
2. Email Submission
Send an email to your organization's dedicated address.
Reviewed and filed manually by the Whistleblower Security intake team into the system.
3. Hotline
Find a toll-free hotline number and speak with an Intake Specialist.
- Report filed on your behalf
- Accessible by phone
How Email Case Submission Works
A structured workflow ensures accuracy, confidentiality, and proper routing.
1. Reporter Sends Email
The reporter emails the dedicated address (e.g., yourorg@integritycounts.ca). This inbox is monitored by the Whistleblower Security intake team.
2. Email Arrives in Queue
Team members receive the message. They review it to ensure all necessary details are present before creating the formal report.
3. Team Member Files Case
A Team Member enters the report into IntegrityCounts, attaching files, categorizing the issue, and assigning it based on routing rules.
4. Processing Time
Mon-Fri, 8:00 AM - 4:00 PM (PT).
Emails received during hours are filed within 24h. Weekend/Holiday emails are filed the next business day.
5. Case Managers Notified
Once filed, organization case managers receive a standard notification to review, respond, and begin investigation.
Summary
Email intake offers reporters a straightforward alternative to web or hotline reporting. The process ensures all submissions are handled securely, consistently, and with the same level of care as all other reporting channels.
